Tasks can be used to assign and track article-related work to team members. A Task can be associated with one or more Articles, Links or Media. Each Task is assigned to a user who is one of the users who have access to Help Center Manager.
Tasks are organized into Tasks Lists.
- You can display Tasks from the Tasks Lists by selecting the List from the Tasks pane on the left-hand side of the screen.
- You can display the Tasks for a specific article from the Article View by clicking Article Tasks.
- You can display the Tasks for a specific link from the Link Pane by clicking Link Tasks.
- You can display the Tasks for a specific media from the Media Pane by clicking Media Tasks.
In the Articles page and the Links page, the number of Tasks for an article or link displays in the Tasks column.
Adding Tasks
There are various ways in which Tasks can be added.
- Manually added for one or more Articles by displaying a Task List, clicking Add Task and Searching for the Article(s).
- Manually added for one or more selected Articles, Links or Media on the Articles, Links or Media page as relevant by clicking New Task.
- Manually added for an Article from the Article View by clicking Article Tasks then clicking Add Task.
- Manually added for one or more selected Links from the Link Pane by clicking Link Tasks then clicking Add Task.
- Manually added for one or more selected Media from the Media Pane by clicking Media Tasks then clicking Add Task.
- Automatically added for Broken Links when a Sync is run.

Tasks Lists
Tasks are organized into Task Lists. There are the following Task Lists initially:
Default, Broken Links, All tasks, Assigned to me and Completed.
All tasks, Assigned to me and Completed are system lists and these cannot be deleted or renamed.
You can add your own Task Lists by clicking the + button.
Then add a unique Name for the new Tasks list.
When Tasks are added to the Tasks Lists, the number of Tasks displays next to the list name. When Tasks are added, at the moment, the counts do not refresh automatically but clicking on one of the Task Lists will refresh the numbers.
Tasks Lists are applicable to your account. If you have more than one Help Center for your account, any changes or additional Tasks Lists will appear for all of your Help Centers. The Tasks in a list are shown as relevant for the specific Help Center.
You can rename the lists, or delete lists, by clicking the vertical ellipsis button.
If you delete a Tasks List, all tasks in the list will be lost.
Using the Task Lists
Click on a Tasks List to display the Tasks that have been added to that list. Apart from the Completed list, these display Tasks that have not been marked as "Complete".
The following is an example of a list that has been added with the name Needs Updating.
In the Lists, the ID and Language columns are only relevant for Article Tasks.
You can use the functions in the Task List in the same way as in other lists in Help Center Manager such as sorting the columns, selecting Tasks and adding Filters. Refer to Using the Filters in Articles, Links and Media, Selecting Articles, Links or Media and Searching for Articles, Links and Media.
The Search will find instances of the search text in the Task Name or Source (the title of an article).
Opening a Task from a Tasks List
You can open a Task from a list by clicking it.
You can make changes to the Task to update the Task Name, Assignee, List or Description, and then click Save Task.
For an Article Task, you can change the Article that the Task is associated with. Click the Edit icon, search for an article and select the different article, then Save the Task.
Opening the Article from an Article Task
For an Article Task, you can open the Article directly in Zendesk by clicking the Open icon next to the Article title.
Opening the Link from a Link Task
When you click on a Link Task in a list, including a Task in the Broken Links, this displays the Task with the Link as a hypertext link. You can click this to access the link.
This displays a new browser tab with the relevant link automatically selected in the Links page and with the Line Pane open.
From this, you can click the Link Tasks button to display the Tasks for that link.
You can then click on a Task to open the details.
Marking a Task as Complete, Reopening a Completed Task or Deleting a Task
You can mark a Task as Complete. It will then show in the Completed list and will not be included in the other lists.
Mark a Task as Complete from a List
On any list, except the Completed list, select one or more Task and click Mark Complete.
Mark a Task as Complete from the Task
On any list, except the Completed list, click a Task to open it and click Mark Complete from the open Task.
Reopening a Task from the Completed List
From the Completed list, you can Reopen an article that has been marked as Complete. Click the Task to display it and click Reopen.
Deleting a Task
You can Delete a Task from a List, or from the open Task, by clicking Delete. You can also delete a Task that has been marked as "Complete" from the Completed list.
No record is kept of a Task that is deleted.
